We are the controller of the personal information described in this policy.
What we collect
Information you give us:
- Your first and last name, email address, mobile number and business website.
- Your answers to our diagnostic questions, such as how customers buy from you, roughly how many enquiries you receive, where enquiries slip, how soon you want to act and your role.
- Anything you tell us on a call, by email or in other messages.
- Your booking details when you schedule a call.
Information collected automatically:
- Basic technical information such as device type, browser and pages visited.
- Campaign information in the link you used to reach us, such as the source or campaign name.
- Cookies and similar technologies, as described below.
We do not ask for sensitive information such as health data, and we ask you not to include it in your answers.
How we use it and why
| What we do | Lawful basis |
|---|---|
| Show you the next step after the diagnostic and let you book a call | Taking steps at your request before a possible contract |
| Prepare for your call, including an internal summary of your answers | Legitimate interests: running a useful, relevant call |
| Send you emails about your diagnostic and call, including reminders and short follow-ups | Consent, given by ticking the box on the diagnostic. You can withdraw it at any time. |
| Keep a record of enquiries and conversations | Legitimate interests: managing our sales process |
| Understand which campaigns and pages work | Legitimate interests, and consent where cookies require it |
| Meet legal, tax and accounting obligations if you become a client | Legal obligation |
How the diagnostic routes you
Your answers are used to decide which page you see next. If your answers suggest the call is unlikely to be useful yet (for example, fewer than 10 enquiries a month), you will see a different page instead of the booking calendar. This only affects which page you see. It does not have any legal effect on you, and you can contact us directly at any time to talk anyway.
We also use an AI tool to summarise your answers into a short internal note before a call. A person, not the tool, decides whether and how we work together.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run the business, under terms that require them to protect it:
- Perspective: diagnostic pages and emails
- Calendly: call booking
- Google (Workspace, Meet, Calendar): email, video calls and calendar
- Notion: our internal records of enquiries and clients
- Make: moving information between the tools above
- Anthropic (Claude): producing internal call summaries
We may also share information with professional advisers, or where the law requires it.
International transfers
Some of these providers store or process data outside the UK, including in the European Union and the United States. Where that happens, we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Addendum.
How long we keep it
- If you complete the diagnostic but we don't work together: up to 24 months from our last contact, then deleted.
- If you become a client: for the length of our relationship and up to 6 years afterwards, for legal and accounting reasons.
- If you ask us to stop emailing you: we keep a minimal record of that request so we don't contact you again.
Cookies
Our pages use cookies and similar technologies that are needed for them to work. Where we use analytics, advertising or third-party embeds such as the booking calendar, we ask for your consent first through the cookie banner. You can change your choices at any time through the banner or your browser settings.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of your personal information
- correct information that is wrong
- delete your information
- restrict or object to how we use it, including for direct marketing
- move your information to another provider, where this applies
- withdraw consent at any time, without affecting anything we did before you withdrew it
To do any of these, email [email protected]. We will reply within one month. Every email we send also includes a way to unsubscribe.
Complaints
If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
